Fund Request Process

IMPORTANT: Before doing anything else, check your buylist to see if the instrument(s) you need are already available. This should be done prior to requesting. See below for how to do this.

You can either check if an instrument is available by using your buylist or you can check via the web portal using 'Model Maintenance Dashboard' - search using ISIN or Name:

The attached template is required for requesting any new instruments to be added to the buylist. Please complete the spreadsheet in full, this is mandatory, and attach to a new Freshdesk ticket using the following title format: “Instrument request - 'Platform Name'”

Specification of the information required on the spreadsheet is as follows*:

  • Customer = Name of platform or firm requiring access to the security
  • ISIN = 12 digit identifier code
  • SEDOL = 7 digit identifier code
  • Security = Name
  • Fund Manager = Name of the fund manager administering the security (if applicable)
  • Type = Type of security (eg. fund/equity)
  • Estimated inflow = expected cash holdings (in GBP) of the security to be undertaken. Some fund managers require a minimum amount of business before allowing access to the fund, therefore, providing this with the original request will prevent any further delays.
  • Type of business = (eg. transfer/new business)

*additional information is required for exchange traded instruments, as per the template

Please note the time taken to add an instrument to the buylist is dependent on the request and, if a fund, the fund manager in question.

If it is on the Hubwise standard buylist, the client will already have access.

If it is not on the Hubwise standard buylist but Hubwise has an existing account with the Fund Manager, Hubwise will contact the Fund Manager to request access and if approved receive from them static data to enable accurate setup. It will then get added to your buylist.

If we cannot access the fund via an existing fund manager relationship we will seek to use Allfunds Bank for dealing and custody. They will then request access to the fund on our behalf. We would usually expect this to be complete within a couple of weeks however, this is not always the case and is very much dependent on the process times of the fund manager themselves.

Exchange traded instruments are usually added within 5 working days providing they meet relevant criteria (recognised exchange, GBP/EUR/USD and we can receive a daily price feed)

Hubwise will provide a regular update for all outstanding requests and inform you if any are unavailable. Please monitor these updates rather than requesting updates on the ticket.
